What is Smart Parking?

Smart Parking is a configurable module designed to automate, on a daily or weekly basis, the reservations your organisation’s car park. This feature allows you to allocate all available parking spaces across all requests received from users.

This allocation will be carried out at random amongst all applicants, although it is also possible to set up a hierarchy of levels and customise allocation criteria to ensure a more balanced distribution if required.

🚙 Smart Parking is the ideal solution for ensuring the efficient and fair allocation of parking spaces in organisations where there are few spaces available for a large number of users.

Enable Smart Parking and complete the necessary setup.

To use the automatic parking allocation feature in your organisation, you must first activate the “Smart Parking” module. You must also ensure that the necessary settings are in place so that the “Smart Parking” feature can function correctly:

  1. Create “Smart parking” groups.
  2. Link these groups to the resources (parking spaces) and users you want to include in the allocation. See this article for details on how to edit a resource’s settings.

Select the allocation method

Smart Parking can operate in daily mode or weekly mode, which can be configured at organisation level. Under no circumstances can both modes be active at the same time.

      • Daily mode: Users request parking for the following day and the allocation is carried out on a daily basis.
      • Weekly mode: Users request parking for the following week in a single request, and the allocation is carried out on the cut-off date set by the organisation.

👉🏽 When you open the Smart Parking tab for the first time, weekly mode will be enabled and set to its default settings. Tap the ‘⚙️ Settings’ button to customise these settings or switch to a different delivery mode.

ℹ️ How does ‘Daily Mode’ work?

  1. Users are booking parking for the following day.
  2. The system carries out the distribution every day at the times set in the routines.
  3. Seats not allocated after routine 2 are transferred to the standard booking process.

✅ Ideal for high daily turnover · ✅ Greater flexibility · 👎 Daily user demand

ℹ️ How does ‘Weekly Mode’ work?

  1. Users submit a single request for several days (from those available as specified by the organisation) in the following week.
  2. The system processes all requests in batches on the configured cut-off date.
  3. After routine 2, the weekly cycle closes and no new applications are accepted until the following Monday.
  4. Any unallocated places are returned to the standard booking process.

✅ Ideal for weekly planning · ✅ Greater predictability · ✅ Fewer user actions

Set up an order or delivery system

There are two possible configurations for customising the distribution system to suit the needs of each organisation: the hierarchical structure and the distribution criteria.

The hierarchy of levels allows you to establish an order of priority for the allocation of bookings of places. Consequently, a user on the top level will have a better chance of finding a parking space than a user on a lower level.

  1. Go to ‘Buildings and resources > Car parks and vehicles’ in the side menu.
  2. From the ‘Smart parking’ tab, access the settings for the current module by clicking on the ‘⚙️ Settings’ button.
  3. From here, you can enable or disable the ‘Set priority order’ option.
  4. Define the names of the priority levels using descriptive names. Examples: Management / Department Head / Employee.
  5. Click ‘Save’ to apply the settings.
  6. Finally, don’t forget to assign these levels to each user. See this article for details on how to edit a user’s settings.

💡 If you don’t want to set a priority for allocation, and would instead prefer parking spaces to be allocated completely at random amongst users in your organisation, you can always disable this option.

It is also possible to apply additional allocation customisation based on allocation criteria. Each user will accumulate a score based on these criteria, enabling the system to carry out the allocation in a fairer and more balanced manner.

  1. Accede a “Edificios y recursos > Parking y vehículos” desde el menú lateral.
  2. From the ‘Smart parking’ tab, access the settings for the current module by clicking on the ‘⚙️ Settings’ button.
  3. Next, go to ‘Customise distribution criteria’.
  4. Select the criteria to be taken into account when the allocation is carried out. Each criterion will be assigned a score (positive or negative).
  5. Click ‘Save’ to apply the settings.

💡 You can set a customisable period (between 1 and 30 days) during which the system will take into account the criteria for each requesting user.

Establish allocation routines

Seats are allocated on a daily basis using a two-step process distribution. The following diagram illustrates how both work.

  1. Go to ‘Buildings and resources > Car parks and vehicles’ in the side menu.
  2. From the ‘Smart parking’ tab, access the settings for the current module by clicking on the ‘⚙️ Settings’ button.
  3. From here, locate the “Allocation periods or routines” section.
  4. Select and set the start time for each of the two routines.

👉🏽 Available times for setting up each routine:
· Routine 1: 12:00 pm to 9:00 pm | · Routine 2: 2:00 pm to 11:00 pm

💡 Recommended times:
· Routine 1: 14:00h | · Routine 2: 16:00h

🕦 There must be a minimum interval of 2 hours between the start times of two routines.

Check the status and outcome of the distribution

When you access the Smart Parking section, you’ll find a dashboard that allows managers to easily analyse how the parking allocation system is performing, on both a daily and weekly basis.

This screen provides an overview of the car park’s status for the selected day or period (last 30 days). The key statistics are displayed at the top:

    • Number of places available
    • Applications received
    • Allocation results (allocated/rejected)

At the bottom, there is a list detailing all requests, where you can view the user, the building, the date and the final status of each request, making it easier to review them and provide support in the event of any queries or complaints.

🧠 This view is designed as an operational monitoring tool, enabling you to understand actual car park usage without the need for advanced reports.

Lorem ipsum

What happens to any remaining free spaces after the smart parking allocation?

These places will then become available (for that day only) for other users to book via the usual booking form.

Can I “Apply for smart parking” if I don’t have a registered vehicle?

If your organisation has the ‘Vehicle required’ setting enabled, you will need to have at least one registered and validated vehicle in order to request smart parking. If this setting is not enabled, you will not need to register any vehicles.

Can I “Request smart parking” if I have a penalty or my employment status prevents me from making bookings?

No, a user cannot request smart parking if they have a parking fine for that day or if their work status is set in such a way that they are not permitted to make bookings. Nor can they request smart parking on public holidays for the organisation. If any of these circumstances apply, a message on the request form will inform the user. Furthermore, if any of these circumstances arise after a request has been submitted, Bookker will reject the request so as not to allocate a parking space to the user.

What happens when two users have the same vehicle registered and request smart parking?

Bookker does not allow simultaneous bookings for the same vehicle (registration number), so only one of the two users who have requested a parking space will be allocated a space when the allocation process takes place.

Can a “Smart parking” space be designated as a permanent parking space?

Yes, a “Smart Parking” space can be allocated as a fixed space for a user during a specific time slot. Outside of this time slot, the space may be allocated to other users based on the requests received.

If the priority order (levels) setting is enabled, what happens to users who do not have a level assigned?

If a user has not been assigned a priority level, it will be assumed that they belong to the lowest priority level in the allocation order. Consequently, this user will only be eligible for a smart parking space once all users with assigned priority levels have been allocated their parking spaces.

How can I identify “Smart parking” groups?

Unlike ‘Manual parking’ groups, ‘Smart parking’ groups are always displayed with the text (smart parking) in brackets next to the group name. This applies to both the management panel and the Bookker apps.

Example: Parking MAD (smart parking)

How do allocation routines work in buildings across different time zones?

The time at which the distribution routines are run is determined by the settings configured at organisation level (for all its buildings) via the management dashboard.

This means that if a routine is scheduled to start at 2.00 pm, the allocation of parking spaces will begin at 2.00 pm for each building.

If the Smart Parking feature is enabled within the organisation, must all parking spaces be allocated via this system?

No, this feature only manages the allocation of parking spaces for resources linked to ‘smart parking’ groups.

Therefore, any other parking space linked to a “manual parking” group may be reserved and used by other users.
