Help Center 5 Management panel - Configuration and rules of use 5 Configure usability rules for your organization’s users
Last updated: 21/08/2024

How to configure usability rules for your organization's users.

Rules of use allow you to establish availability and other specific configurations for the use of different types of resources by users. These rules will condition the reservations of each resource by users.

⚠️ In case of incompatibility between rules, the user rules will prevail over the rest of the rules.

User rules are applied directly on the user himself by controlling and limiting his booking options.

💥 Reservations made through the management panel are not subject to these rules, so a reservation manager can ‘bypass’ them when creating a reservation from the panel.

Configuration of user rules.

You can set as many user rules as you need and assign them to as many users as you want. To create or edit user rules follow the steps below:

  1. Access the Usage Rules from the side menu.
  2. Navigate to the ‘User Rules’ tab.
  3. Click on “New Rule” and enter the name of the rule.
  4. From the list of rules, expand the options for each one to apply your desired settings (booking type, maximum booking time, advance notice, availability, etc.).
  5. Finally, click on “Save”.

🚀 Enable digital disconnection to help users in your organisation disconnect during their free time. With this option enabled, public holidays will not be taken into account when applying the configured advance booking period. This way, you can prevent your users from having to use corporate tools in their free time.

How does the ‘Total permitted booking time’ parameter work?

This parameter sets the maximum time limit that a user can accumulate within a given period (e.g. daily) through one or more reservations. This limitation can be applied to both workstations and parking spaces.

The configuration applies at the organisation level, not per building. Therefore:

    • Even if the user makes reservations in different buildings, their reservations may never exceed this time.
    • Upon reaching this limit, the user will not be able to create new bookings during the defined period.
