Key concepts of Bookker and the app.

Learn here the terminology we use at Bookker and which are the fundamental concepts to understand and make the most of our solution.

General Terms 📗

Resource

Any item that can be reserved by users of the organization for their use or occupancy.

User

Person belonging to the organization and with access to Bookker applications.

Reservation

To allocate a resource of the organization, in an exclusive way by the organizer, for individual or shared use (spaces).

Category

Classification or grouping of the different resources of the organization. There are four categories: Workstations, Spaces, Parking and Canteen.

subcategory or type of resource

Classification or grouping of the different resources belonging to the same category. Examples of subcategories of “Spaces”: Meeting room, Conference room…

Job title

Resource destined to be reserved by users to carry out their work function with capacity for only one person.

Space

Resource for booking by users to hold meetings or sessions with capacity for several people.

Parking

Resource reserved by users to be used as a parking lot for personal vehicles.

Dining room

Resource intended for reservation by users to be used as a place for lunch or lunch.

App

Mobile application.

WebApp

Web application.

Management panel

Interface for the configuration and administration of the organization’s users, resources and reservations. Its access is limited to the administrators or managers of the organization itself.

Group

Grouping of resources that delimits on which resources the organization’s users can make reservations.

Resources 🖥️

Resource name

It is the name or title that the organization has designated for each resource.

Resource code

Code separated by dashes (-) consisting of the building, floor and subcategory of each resource that allows its unique identification.
Example: MAD-P1-DESK-PUESTO001

Resource label

Poster or physical label placed next to each resource with its details.
This physical support is necessary to interact with the app’s scanner and to manage reservations (check-in, check availability…).

Equipment

Office supplies or physical items associated with each resource subcategory.

Manual

Documentation that provides necessary information or extra details about a resource and/or its use.
Examples: instructions for use, evacuation manual…

Holidays calendar

Holiday scheduling predefined by the organization to disable the reservation of a building’s resources during the dates determined.

Users 👥

User account

Unique identification of an organization’s user that is used to access and log in to Bookker’s different platforms.

User email

Email address associated with a user’s account where all notifications will be received.

Working status

Reflects the work situation or modality in which each user finds himself/herself.
Examples: in office, teleworking, vacations…

Work calendar

Scheduling of work statuses predefined by the organization for users.

Preferences

Set of configurations or personalized choices made by the user.

Reservations 📆

Organizer

User who will be able to enjoy a reservation, either because he has created it himself or because a reservation has been made on his behalf.

Guest

Internal or external user that can be added as a guest to a space reservation.

Form

The reservation form gathers all the necessary fields to be filled in to perform a search for available resources.

Reservation form

Detailed summary containing all the data of a reservation (date, time, location, guests…).

Repetitions

They allow the user to search for available resources during all selected dates or repetitions.

Single reserve positions

Jobs that can only be filled by one reserve per day, regardless of the duration of the reserve.

Reservation 1-click

Quick access from the applications that allows a random reservation of workstations according to the user’s preferences (previously configured).

Reserve for others

Reservation of workstations for other users made from the applications by a supervising user.

Reservation without complete lot

Space reservation that allows you to consult and reserve the available dates among the selected repeats when not all of them are available.

Advanced space search

Functionality that allows to add to the space reservation form the fields of country, province and city/town/municipality.

In advance

Anticipation or minimum time defined by the organization to allow its users to make reservations.

Check-in

Action by which the user confirms the actual start of his reservation. This action may be necessary to validate occupancy and ensure that the resource is being used.

Check-out

Action by which the user confirms the actual completion of his reservation.
The resource will then be available for rebooking.

Pre-check-in window or period

Period before the start time of the reservation in which the user can check-in in advance.

Window or check-in period

Maximum period of time in which the user must check-in before the reservation automatically expires.

Expiring a reservation

If the check-in is not done on time, the reservation will expire and will no longer be available.
The resource will then be released for rebooking.

Fixed resources 🧑🏽‍💻

Fixed resource

A fixed resource is defined as a workstation or parking space that is assigned exclusively to a specific user for a specific time period.

Resource sheet

Detailed summary containing all the data of the assignment of a fixed resource (schedule, location, expiration date, assignments…).

Cession

Temporary release of a fixed resource by its assigned user. An assignment allows other users to reserve this resource for the duration of the assignment.

Cancel assignment

Action required to retrieve a fixed resource by its assigned user.

Additional services ☕️

Additional service

These are different services or additional requests that can be requested on an ad hoc basis in space reservations.

Type of service

It refers to the different classifications of additional services that may exist (catering, additional equipment…).

Catering

Type of service that includes everything related to food and beverage requests (lunch, breakfast, water, coffee…) for space reservations.

Additional equipment

Type of service that includes everything related to requests for extra office supplies or technical equipment (projector, microphone, etc.) for space reservations.

Time of delivery

Scheduled time when a service is to be provided or made available to the user of the reservation.

Minimum cancellation or request time

Minimum time or period defined by the organization with which any action (request, edit or cancellation) related to the delivery of an additional service of the reservation must be made.

Responsible for additional services

Person or team within the organization in charge of coordinating the management of additional services and suppliers.

Contact information

Contact information of the person responsible for additional services of the organization.
